Why MatchingPartners?

Are you only active in Germany?

No, we operate worldwide. Whether it’s a team retreat, sales kick-off, or training series: we find suitable hotels and venues from 10 rooms/participants onwards – both in Germany and internationally.

Who benefits from MatchingPartners?

SMEs. They want to execute events professionally without building an internal travel or event sourcing team. We deliver vetted options, secure favorable terms, and reduce coordination effort.

Mid-sized companies. Multiple locations, recurring trainings, trade fairs, or offsites. We ensure availability during peak periods, consistent rates, and clear processes for procurement and assistant teams.

Corporations & international teams. They require consistent quality worldwide. We research hotels and venues in your key markets and support you with our network, project management, and partners for technology, attendee management, and transfers.

How quickly will I receive proposals?

Usually promptly. We option suitable hotels and deliver our overviews within 3–5 business days of receiving your inquiry. Please keep in mind that we depend on response times from hotels and venues, and often need to follow up for missing information. If you have a specific deadline, feel free to let us know.

Who signs the contract?

The hotel or venue contract is always concluded directly between your company and the provider. We prepare everything and coordinate the details.

Why is the service free of charge?

Hotels compensate our work through a referral fee, as they recognize the value we provide (one single point of contact). This requires exclusivity during the inquiry phase. In the case of parallel inquiries, we will charge for our time.

Do you also assist with other topics?

Yes! From transfers and attendee management to on-site support and supporting programs, we rely on established partners and coordinate everything from a single source. A detailed overview of what we can help with can be found under “Services.”

How early should I submit my inquiry?

The earlier, the better. Of course, the date and initial rough parameters should already be in place. However, the earlier you start, the higher the chance of securing your preferred venue, and the more attractive the pricing. The basic economic principle applies: demand determines supply. The later you submit your inquiry, the higher the risk of elevated rates or unavailability.

For trade fair dates or high-season months like May and September, you can rarely start early enough. Keep in mind that no company likes to plan an event during trade fairs, holiday periods, or weeks with public holidays. If you calculate this out and also subtract the first two weeks of January and the last two weeks of December, roughly 140 days remain. Removing the less popular days of Monday and Friday, you’re left with around 95–100 days that everyone is competing for. This means popular dates are in high demand – and first come, first served.

How is billing handled?

Since our service is free of charge, we do not issue an invoice to you.

We refer again to our Terms & Conditions – however, in the case of parallel inquiries, we will charge for our time.
Billing with hotels or venues is handled directly between you and the provider.
